Privacy Policy

1. Introduction

BondGuard ("we", "our", or "the app") is a mobile application operated by Rowlytics Pty Ltd (ABN 62 616 476 923) that helps Australian tenants document property condition, log maintenance issues, and build evidence packages for rental bond disputes. This Privacy Policy explains how we collect, use, store, and protect your personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Information We Collect

2.1 Account Information

When you create an account, we collect your email address and display name via Firebase Authentication. You may also sign in using Google or Apple accounts. You may use the app anonymously without providing personal details.

2.2 Property & Report Data

Information you enter about rental properties, including property addresses, tenant and agent names, report types (move-in or move-out), room conditions, and maintenance issues. This data is stored in Google Cloud Firestore.

2.3 Evidence Files

Photos and videos you capture or select as part of condition reports and maintenance logs. These files are stored in Firebase Cloud Storage and are associated with your user account and specific reports.

2.4 Location Data

If you grant location permission, we collect your location to geotag photos with GPS coordinates and to assist with property address entry. Location data is only collected when the app is actively in use and you initiate a location-tagged action.

2.5 Subscription Information

Subscription status is managed through RevenueCat. We do not directly process or store payment card details. RevenueCat and the respective app store (Apple App Store or Google Play) handle billing. We receive subscription status information (active plan, expiry date) to manage your access to premium features.

2.6 Device & Usage Data

We collect anonymised crash reports and usage analytics through Firebase Crashlytics and Firebase Analytics to improve app stability and user experience. This data does not personally identify you.

3. How We Use Your Information

In accordance with APP 6, we only use your personal information for the primary purpose for which it was collected:

  • To provide and maintain the BondGuard service
  • To store and organise your condition reports, evidence, and maintenance logs
  • To generate professional PDF evidence packages and reports
  • To geotag photos with timestamps and GPS coordinates for evidentiary purposes
  • To manage your subscription and premium feature access
  • To improve app stability and performance

4. Data Storage and Security

Your data is stored on Google Cloud infrastructure (Firebase) located in the Australia region (australia-southeast1) where available. We use Firebase Security Rules to ensure that each user can only access their own data. All data is transmitted over HTTPS/TLS encryption. We take reasonable steps as required by APP 11 to protect your personal information from misuse, interference, loss, and unauthorised access.

5. Data Sharing

We do not sell, rent, or share your personal data with third parties for marketing purposes. In accordance with APP 8, your data may be disclosed to:

  • Google Firebase — for authentication, data storage, file storage, and analytics (servers in Australia and the United States)
  • RevenueCat — for subscription and billing management (servers in the United States)
  • Law enforcement or legal authorities — only if required by Australian law

6. Your Rights

Under the Australian Privacy Act 1988, you have the right to:

  • Access your data (APP 12) — All your data is visible within the app at all times. You may also request a copy by contacting us.
  • Correct your data (APP 13) — You can edit your reports and profile information directly in the app.
  • Export your data — Generate and share PDF reports containing all your property inspection data and photos.
  • Delete your account — Use the "Delete Account" option in Settings to permanently remove your account and all associated data including reports and photos. See our account deletion page for details.
  • Withdraw consent — You can revoke device permissions (camera, location) at any time in your device settings.

7. Data Retention

Your data is retained for as long as your account is active. When you delete your account, all associated data (profile, reports, room entries, maintenance logs, and photos) is permanently deleted from our servers within 30 days.

8. Children's Privacy

BondGuard is not intended for users under the age of 18. We do not knowingly collect personal information from children.

9. Complaints

If you believe we have breached the Australian Privacy Principles, you may lodge a complaint with us at the contact details below. We will respond within 30 days. If you are unsatisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes through the app or via email.
